These Terms of Service (“Terms”) govern your access to and use of the RateMyCoach platform, website, mobile application, communication tools, analytics, and related features (collectively, the “Services”).
By creating an account or using the Services, you agree to these Terms.
If you do not agree, you must not use the Services.2. ELIGIBILITY
2.1 Parents & Adult Users
Parents, coaches, trainers, and organization administrators must be at least 18 years old to create an account.
2.2 Athletes Under Age 18
Users under 18 may only use the Services with parental approval.
Athletes under 13 may use the Services only with parental consent and must be linked to a parent account, in compliance with COPPA.
2.3 Institutional Use
Schools, districts, clubs, academies, and leagues may use the Services under FERPA-compliant agreements when applicable.3. USER ACCOUNTS AND SECURITY
3.1 Account Creation
Users must provide accurate, current information.
False, misleading, or impersonated identities are prohibited.
3.2 Account Security
Users are responsible for maintaining the confidentiality of their login credentials.
RateMyCoach uses:
- MFA (multi-factor authentication)
- Device fingerprinting
- Role-based access control
- Account monitoring safeguards3.3 Unauthorized Access
Any suspected unauthorized access must be reported immediately to [email protected].4. USER CONTENT & RESPONSIBILITIES
Users may submit content including reviews, comments, messages, files, and event information (“User Content”).
Users agree that they will not submit content that:
- Contains harassment, hate speech, bullying, or violence
- Contains sexual content or grooming behavior
- Involves minors in unsafe or inappropriate contexts
- Contains PII of anyone other than themselves
- Contains copyrighted materials without permission
- Is intentionally false, defamatory, or misleading
- Violates any laws or regulations4.1 AI Moderation
User Content is processed through a multi-model AI moderation pipeline and may be flagged, removed, or escalated.
4.2 No Expectation of Privacy in Chat
Team chat and coach-parent communication is intended for team collaboration and safety.
Private messages may be reviewed by authorized organization administrators.5. VERIFIED COACH PROFILES
RateMyCoach verifies coaching information using:
- Public sports rosters
- School/league directories
- Sports APIs
- AI-based entity resolution
- Optional background checks (for adults only)RateMyCoach does not guarantee the accuracy or completeness of third-party data.
Users must not impersonate or claim profiles they do not own.6. RATINGS AND REVIEWS
Parents and athletes may submit verified reviews based on personal experience.
By submitting a review, users agree:
- Reviews must be truthful and based on firsthand interactions
- Reviews may be moderated, corrected, or removed
- Reviews contribute to the coach’s Trust Score
- Fraudulent reviews are strictly prohibited
- RateMyCoach may enforce reviewer identity requirements7. SUBSCRIPTIONS & PAYMENTS
Certain features require a paid subscription, including:
- Parent/Athlete PRO
- Coach/Trainer PRO+
- Organizational Plans
- League & District Hubs
- Recruit+ (once launched)7.1 Billing
Payments are processed via Stripe.
All fees are non-refundable except as required by law or explicitly offered in presale programs.
7.2 Automatic Renewal
Monthly and annual subscriptions renew automatically unless canceled.
7.3 Presale Lifetime Access
Lifetime access tiers offered during presale are one-time payments that grant perpetual access to designated features.8. FILE UPLOADS AND STORAGE
Paid users may upload files including:
- PDFs
- Roster sheets
- Game schedules
- ImagesUploaded files must not contain:
- Illegal content
- Copyright violations
- Explicit images
- Sensitive PII of minorsAll files undergo:
- OCR scanning
- PII detection (Nightfall)
- Multi-model AI moderationFree users may view but not upload files.9. TEAM COMMUNICATION & SAFETY
9.1 Team Chat
Team chats are moderated in real-time for safety.
Free users may access only team group chat.
Paid users may upload files.
Direct Messages are limited to verified roles (e.g., coach ↔ parent).
9.2 Safety Controls
RateMyCoach employs:
- Multi-Layer AI moderation
- DLP scanning
- COPPA protections
- Parent visibility for communication involving minors
- Role-based messaging permissions9.3 Incident Reporting
Users may report inappropriate behavior using the in-app reporting system.10. ORGANIZATION, LEAGUE & DISTRICT FEATURES
Organizations may use RateMyCoach to:
- Manage rosters & schedules
- Monitor compliance
- Assign coaches
- Track background checks
- Track certification & training
- View safety and performance analytics
Users acknowledge that organizations may:
- Access relevant user content
- Manage team assignments
- Enforce communication permissions11. BACKGROUND CHECKS
RateMyCoach integrates Checkr or similar providers to conduct background checks on adult users (e.g., coaches, trainers, volunteers).
11.1 Consent Required
Background checks are conducted only with explicit user consent.
11.2 Not Conducted on Minors
RateMyCoach never conducts background checks on users under 18.
11.3 Disclosure
Background check results may be shared only with:
- The individual user
- Authorized organization administrators12. COMPLIANCE WITH COPPA & FERPA
12.1 COPPA
For users under 13:
- Parental consent is required
- Parents control data access
- Parents may review or delete child data12.2 FERPA
When used by an educational institution, RateMyCoach acts as a School Official with a legitimate educational interest, and:
- Does not own student data
- Processes data only under institutional direction
- Complies with district DPAs
- Does not use data for advertising13. DATA PRIVACY & SECURITY
RateMyCoach uses:
- Zero Trust
- Secure backend
- Encryption-in-use
- DLP
- MFA
- Chat secure channels
- SOC2-aligned hosting and processesRateMyCoach commits to protecting user data to the highest commercial standards.14. TERMINATION
RateMyCoach may suspend or terminate accounts for:
- Safety violations
- Fraud
- Abuse
- Harassment
- Illegal activity
- Violations of these TermsUsers may delete their accounts at any time.15. LIMITATION OF LIABILITY
RateMyCoach is not liable for:
- User-generated content
- External data inaccuracies
- Third-party service outages
- Loss of data due to user actions
- Injury or damages related to participation in athletic activitiesTo the maximum extent permitted by law, RateMyCoach’s liability is limited to the fees paid by the user in the past 12 months.16. INDEMNIFICATION

Refund Policy

This Refund Policy describes how refunds are handled for RateMyCoach (“we,” “our,” or “us”) purchases made through Stripe or authorized in-app payment channels.
RateMyCoach offers subscriptions, one-time lifetime-access purchases, and organization-level plans. Refund eligibility varies by product type.1. PRESALE LIFETIME ACCESS (FOUNDING MEMBER TIERS)
This section applies to presale purchases including:
- Founding Parent/Athlete — Lifetime Access
- Founding Coach/Trainer PRO+ — Lifetime Access
- Any limited-time one-time lifetime tiers1.1 Full Refund During Presale Period
Presale lifetime purchases are fully refundable at any time before the public launch of the RateMyCoach platform.

Refunds are processed through Stripe back to the original payment method.
1.2 After Public Launch
Once the platform officially launches, presale lifetime access purchases become non-refundable.
This policy is disclosed during checkout and on the presale landing page.
1.3 Transferability
Presale lifetime memberships are non-transferable and may not be resold or reassigned.2. MONTHLY SUBSCRIPTIONS (POST-LAUNCH)
Monthly subscriptions renew automatically unless cancelled.

Payments for active billing periods are non-refundable, including:

- The user has not violated the Terms of Service
- No misuse or fraudulent activity is associated with the account3.2 Prorated / Partial Refunds
RateMyCoach does not offer prorated refunds for annual subscriptions.
3.3 Renewal
Annual plans renew automatically unless cancelled before the renewal date.4. ORGANIZATION, LEAGUE & DISTRICT PLANS
Organization-level plans (Org Hub, League Hub, District Hub) billed monthly or annually via Stripe are subject to the following:
4.1 Refunds
Payments for organization plans are non-refundable, except in cases of:
- Duplicate billing
- Technical issues preventing platform use for more than 7 consecutive days
- Billing errors4.2 Cancellation
Organizations may cancel at any time.
Access remains active through the paid billing period.
4.3 Contracted Terms
Where schools, districts, or large organizations sign annual or multi-year service agreements, the terms of the signed contract supersede this Refund Policy.5. BACKGROUND CHECKS, WAIVERS, AND ADD-ONS
5.1 Background Checks
Fees paid for background checks (via Checkr or other providers) are non-refundable, as these services are processed immediately upon request.
5.2 Waivers, E-Signature Forms, Compliance Tools
Payments for waiver templates, e-signature workflows, compliance modules, or administrative tools are non-refundable once the service is delivered or activated.6. DISPUTED CHARGES & CHARGEBACKS

Users may not upload, post, send, or share content that:

- Use Direct Messages (DMs) only in permitted contexts
- Understand that messages are monitored for safetyDM Restrictions
- Only verified coaches may DM parents or athletes
- Athlete DMs may require parental visibility
- Minors cannot DM adult users except as permitted4. FILE UPLOAD RESTRICTIONS
Paid users may upload:
- PDFs
- Team announcements

- Practice plans
- Photos (non-sensitive)Files may not include:

Coaches, trainers, and organization staff must:

- Complete required certifications (concussion, CPR, SafeSport, etc.)
- Communicate professionally
- Report unsafe or inappropriate behavior
- Use DMs only for team-related communicationCoaches may not:
- Harass, pressure, or manipulate athletes
- Share private data
- Use RateMyCoach for non-team-related personal purposes
- Attempt to influence ratings or reviews coercively6. PARENT & ATHLETE RESPONSIBILITIES
Parents and athletes must:
- Provide accurate roster and profile information
- Follow team and organization rules
- Use the platform for legitimate team purposes
- Report safety issues immediatelyAthletes may not:
- Harass other players or coaches
- Post unsafe or inappropriate content
- Circumvent parental visibility or permissions
- Create multiple accounts7. ORGANIZATION & SCHOOL RESPONSIBILITIES
Organizations, leagues, and districts must:
- Ensure staff accounts are accurate and authorized
- Require background checks if appropriate
- Require necessary waivers and consent forms
- Maintain compliance with applicable laws
- Remove unauthorized or inactive accounts
- Notify RateMyCoach of any security concerns8. SECURITY REQUIREMENTS
Users must:
- Keep credentials confidential
- Use MFA when required
- Notify RateMyCoach of unauthorized activity
- Avoid sharing accountsProhibited activities include:
- Attempting to bypass security controls
- API abuse
- Scraping or automating data extraction
- Reverse engineering
- Distributing malware
- Attempting to access another user’s account9. REVIEW & COACH RATING RULES
Users must:
- Provide truthful, firsthand reviews
- Avoid profanity, hate, or harmful narratives
- Never retaliate, threaten, or manipulate reviews
- Not coordinate rating attacks or brigading
- Not review coaches with whom they have no direct experienceRateMyCoach reserves the right to:
- Remove, edit, or moderate reviews
- Adjust Trust Scores
- Restrict users for abusive reviews10. FERPA, COPPA & STUDENT PRIVACY
For institutional users:
- Student Data is controlled by the Institution
- RateMyCoach acts as a School Official
- Student Data is used only for educational purposes
- Parent–child linking is required for users under 13
- Data will not be sold or used for advertising
- Access is limited by role and permissions11. ENFORCEMENT & CONSEQUENCES
Violation of this AUP may result in:
- Content removal
- Warning or account flag
- Temporary suspension
- Permanent account termination
- Reporting to school or organization administrators
- Reporting to legal authorities (if applicable)RateMyCoach may suspend accounts immediately if safety concerns arise.12. REPORTING VIOLATIONS

- Unsafe content
